Step 3
Please log in to the MyEasyfairs service portal and place all orders for the trade fair in the shop. You will then be able to organise your communicative campaign.
Step 4
Technical stand planning begins approximately 16 weeks before the exhibition. You will receive a technical stand drawing and coordinate this individually with the Easyfairs Operations Department.
Additional rental furniture and printing can be ordered from the online shop at MyEasyfairs.
Step 5
Familiarize yourself with the services of the Touch&Collect and VisitConnect lead capture systems.

The KPA fair in Ulm has experienced a period of sustained growth and success with its targeted and distinctive trade fair concept for plastics processors. Building on this success, the KPA fair is set to expand its reach in the northern region with the opening of a second location in Bad Salzuflen from 13 to 15 May 2025.

KPA Bad Salzuflen will be organised in parallel with KUTENO, the supplier trade fair for the plastics processing industry that is already established in the region!

EasyGo - Your service package
Included at all Easyfairs trade fairs: the EasyGo package. The service package is based on the latest developments in digital marketing technology. You can see the EasyGo package you have booked in MyEasyfairs. You can also book an upgrade there.
Lead generation with Touch&Collect and Visit Connect
Each exhibitor receives one to three Touch&Collect readers at their stand (depending on the EasyGo package booked) for the digital exchange of visitors’ contact details and exhibitor information at the trade fair. Your reader will be linked to your profile on the exhibitor list by default 14 days before the trade fair. If you wish to link your reader to other content, you must do so up to 14 days before the trade fair.
As soon as visitors touch your reader with their visitor badge, they collect all the information about your company and products that you have uploaded to your MyEasyfairs account. At the end of the trade fair day, visitors receive this information as a trade fair summary by e-mail. In return, you receive the data of all those visitors who have touched your reader with their visitor badge. We will send you this list by e-mail at the end of the trade fair.
Important! The contact details of the Touch&Collect system will be available to you after the trade fair.
The data between the two systems is independent of each other and in separate lists, as the two systems are separate from each other.
With this web application, you can collect leads during the event and qualify them immediately. Your stand personnel can create custom questions, take notes (written, verbal or by picture) and note down additional information.
Simply scan the QR code on the visitor badge with your smartphone. This gives you all the visitor’s contact details digitally.
You can also export all scans to Excel so that you can easily follow up on the leads of your potential partners and customers. All your stand personnel can use Visit Connect during the event.
Important! All data scanned with Visit Connect is available to you in real time.

The functions of the KPA trade fair app increase your visibility as an exhibitor and as a contact person before, during and after the trade fair. This app is more than just a scheduling tool and more than just an exhibitor overview. It enables you to get in touch with customers, interested parties and potential partners at any time.

The Easyfairs Operations Department will accompany you throughout the entire stand construction planning process:
- Ten weeks before the deadline (approximately 16 weeks before the trade fair), you will receive the first information email with details on the stand construction planning process.
- The Operations Department will coordinate the stand construction planning with you individually in the weeks leading up to the deadline.
- We require written approval of the stand construction plan. Failure to respond to the email from the Operations Department will be considered approval.
Please note:
- Orders placed after the online shop has closed can only be accepted after individual consultation with the Operations Department.
- Graphics submitted after the deadline cannot be guaranteed.
- All items included in the stand package will be booked directly with your exhibition registration. They are listed in the overview in My Easyfairs. The furniture included in the stand package can be cancelled, but is excluded from both credit notes and exchanges/offsetting against additionally booked furniture.
Cautionary notes
As an exhibitor at Easyfairs trade shows, you no longer need to worry about whether you have sufficient insurance coverage.
We take care of that for you. By registering for KPA, you are automatically covered by our exhibitor group insurance policy.
For just €195, you receive comprehensive protection that specifically addresses the areas where most issues have occurred in the past:

Public liability insurance – Proof of this coverage is mandatory for all Easyfairs trade shows.

Cancellation insurance – In case you are unable to attend due to circumstances beyond your control.

Property insurance – Covering damage to or loss of your exhibition equipment, including during transport.
Our partner for exhibitor insurance is Inevexco. All communication regarding participation in the group insurance policy is handled directly by them.

Cautionary notes
We inform you about our service providers and partners via our official newsletter. Please note that not every company offering KPA services has been commissioned by us. We would like to warn you about some misleading offers.
Beware of unauthorised trade fair directories asking exhibitors for data. Some companies are advertising their products and services in a misleading way using the name of the trade fair and the organiser. Easyfairs GmbH is not connected to: International Fairs Directory, Automation.bz, EXPO GUIDE, FAIRGUIDE.COM, Construct Data Verlag AG
We do not work with these companies. These companies copy data from online sources like exhibitor directories and catalogues.
Check any offers you receive for trade fair directories carefully. Avoid the companies named in the introductory list and their misleading offers and requests for payment.
Make your entries for the official directories of the automation trade fairs, such as the exhibitor list, free of charge online in MyEasyfairs.
Be cautious of list provider/data offers and similar scams! Please also beware of fraudulent offers of list data and other ‘services’ that you may receive in unsolicited emails.
If you receive such a message, it is almost certainly fraudulent and not from Easyfairs. We never sell visitor information to third parties. The data provided by these companies is more often than not either inaccurate, incomplete, of poor quality or even falsified and/or collected in breach of the General Data Protection Regulation (GDPR).
